1. Who we are

Drive4Pass (“we”, “us”, “our”) provides a booking and management platform for driving instructors and their pupils. This policy covers the Drive4Pass Instructor mobile app, used by driving instructors to manage their diary, pupils, enquiries, and payments.

2. What information we collect

Information instructors provide directly

  • Account details: name, email, phone number, and login credentials.
  • Pupil records the instructor creates or edits: pupil name, phone number, email address, postcode, gearbox preference, pickup/dropoff notes, and private lesson notes.
  • Enquiry records: enquirer’s name, phone number, postcode, and the type of training requested.
  • Booking records: lesson date/time, duration, and status (booked, pending, completed, cancelled).
  • Payment records: which package/sale a lesson is billed against and the payment method selected (e.g. cash, card, PayPal, Apple Pay, bank transfer). The app does not process card payments and never collects card numbers or other payment credentials — it only records that a payment happened and by what method, for the instructor’s own bookkeeping.

Information collected automatically

  • A push-notification device token (via Firebase Cloud Messaging), used to deliver booking, enquiry, and pupil-related alerts to the instructor’s device.
  • Standard technical data needed to operate the app (e.g. device platform, for choosing how to format a push notification).

Contacts (optional, read-only)

When adding a new pupil, the instructor can optionally choose a contact from their phone’s address book to pre-fill the pupil’s name, phone number, and email. This requires the device’s Contacts permission. The app:

  • only reads the single contact the instructor picks — it never scans, uploads, or stores the instructor’s full contact list;
  • never writes back to the phone’s contacts; and
  • only requests this permission at the moment the instructor chooses “Add from Contacts” — it is entirely optional.

3. How we use this information

We use the information above to:

  • operate the booking, pupil, and enquiry management features of the app;
  • send push notifications about new enquiries, bookings, and status changes;
  • let instructors track which pupils have paid for their lessons; and
  • maintain the security of instructor accounts.

We do not sell personal data, and we do not use pupil or enquiry data for advertising.

4. Who we share it with

  • Firebase (Google) — used for push notification delivery. Google processes device tokens as our data processor under its own terms.
  • Our own backend servers (api.drive4pass.co.uk) — all app data is transmitted over HTTPS to Drive4Pass’s own servers, which we operate.

We do not share pupil, enquiry, or payment-record data with any other third party.

5. Data retention

Pupil, enquiry, and booking records are retained for as long as the instructor’s account and school relationship with Drive4Pass remains active, and as needed to meet our bookkeeping and legal obligations. Instructors can ask Drive4Pass to delete a pupil or enquiry record; contact us using the details below.

6. Your rights

Under UK GDPR, pupils and instructors have the right to request access to, correction of, or deletion of their personal data held by Drive4Pass. To make a request, contact us at info@drive4pass.co.uk.

7. Security

Data is transmitted over encrypted (HTTPS) connections. Instructor login sessions are stored securely on-device using the operating system’s secure storage.

8. Children

This app is intended for use by driving instructors (adults). Pupil records may include minors’ contact details where a pupil is under 18; these are entered and managed by the instructor as part of normal driving-lesson administration, not collected directly from the minor by the app.

9. Changes to this policy

We may update this policy from time to time. Material changes will be reflected by updating the “Last updated” date above.
